Practical Tips for a Successful Facilities Management Mobilisation

Following on from our previous post on the fundamentals of facilities management mobilisation, this article provides practical tips to help you navigate the process and ensure a successful outcome. We will revisit the four pillars of mobilisation and offer actionable advice for each stage.


1. Pre-Mobilisation: Laying the Groundwork for Success

  • Conduct a Thorough Due Diligence: Don't rush the planning phase. Take the time to conduct a comprehensive review of the current facilities, services, and contracts. This will help you to identify potential risks and opportunities.


  • Ensure any gaps in knowledge or additional findings are reported and recorded. In your budget these will be known as your variances.


  • Engage with Stakeholders Early and Often: Communication is key. Engage with all stakeholders, from senior management to end-users, to understand their needs and expectations. This will help you to build buy-in, trust and ensure a smooth transition.


  • Develop a Detailed Mobilisation Plan: Your mobilisation plan should be your roadmap for the entire project. It should include a detailed timeline, key milestones, and a clear allocation of roles and responsibilities.


  • Develop and manage your risks through a risk register.


2. Mobilisation: Executing the Transition

  • Establish a Clear Governance Structure: A clear governance structure is essential for effective decision-making and risk management. Make sure that everyone knows their roles and responsibilities, and that there is a clear process for escalating issues.

Make sure that you have a clear plan in place to manage this process, and that you are communicating effectively with all affected parties. Remember the staff you are taking over have a wealth of knowledge about the operations what works well, where there are challenges, be kind this knowledge cannot be easily replaced.


  • Monitor Progress and Track Performance: It's important to monitor progress and track performance throughout the mobilisation process. This will help you to identify any potential issues early on and take corrective action as needed.
